What we collect and why
- Quote tool and contact form. Name, email address, phone number, postcode or area, your project description, and whether you agree to be called. The quote tool also records your six answers (project type, property type, size, constraints, scope) and the indicative fee band it produced, so the written proposal matches what you were shown. We use these to send the estimate, prepare the proposal and, if you instruct us, deliver the service. Lawful basis: taking steps at your request before entering a contract.
- Technical data with each submission. Your IP address and browser identifier are stored with the enquiry to prevent abuse and to investigate misuse. A counter of submissions per IP address is kept for one hour to limit automated submissions. Lawful basis: our legitimate interest in protecting the service.
- Spam protection. Cloudflare Turnstile checks that submissions come from people. It processes technical data about your browser and connection under Cloudflare's terms; it does not show you puzzles or use advertising cookies.
- WhatsApp and phone. If you message or call us, we process your number and the conversation to respond. WhatsApp messages are also processed by WhatsApp (Meta) under its own terms. Our phone line is provided by a telephony provider that processes call metadata.
- Call bookings. Booking a call uses HubSpot Meetings, which collects your name, email and the time you choose and shows you HubSpot's own notice at the point of booking.
- Analytics. We use Google Analytics 4 in Google's consent mode. Until you accept analytics in the banner it sets no cookies and stores no identifiers on your device; it sends anonymous, cookieless pings that Google uses only for aggregate counts. If you accept, it sets its cookies so that visits can be counted more accurately. IP addresses are anonymised. We also use Cloudflare Web Analytics, which never uses cookies or identifies individuals.
- Job applications. If you apply for a role by email we process your CV and portfolio to assess the application and keep them for six months after the role closes unless you ask us to delete them sooner.
Where your data goes
Enquiries are stored in our database hosted by Cloudflare, sent to us and to you by email through Resend, and recorded in our customer relationship system, HubSpot, where we keep notes on your project. Each provider acts as a processor under contract. Cloudflare, Resend, HubSpot and Google may transfer data outside the UK; they do so under the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. We do not sell personal data and we do not share it with other businesses for their marketing.
How long we keep it
- Enquiries that do not become projects: deleted 24 months after the last contact.
- Project records, including drawings and correspondence: 6 years after completion, for professional liability purposes; 12 years where work is carried out under deed.
- Submission counters used for rate limiting: one hour.
- Analytics data: per the retention setting in Google Analytics, currently 14 months.
Your rights
You can ask for a copy of your data, correction, deletion or restriction of processing, object to processing based on legitimate interests, and withdraw consent to analytics at any time. Email hello@magnastudio.co.uk; we respond within one month. You can complain to the Information Commissioner's Office at ico.org.uk.
Cookies and local storage
Google Analytics cookies are set only after you accept analytics in the banner; declining keeps it cookieless. Your choice is stored in your browser and can be changed by clearing site data. The site also uses browser storage for conveniences with no personal data: remembering that you have dismissed the contact prompt, and Turnstile's own verification token. Clearing site data removes all of them.
Changes
We update this notice when our processing changes and show the date at the top. Material changes to how we use data already collected will be notified by email where we hold your address.
